Job Description:

Summary

The PMO Executive will support the UGS delivery organization in driving effective project governance, resource planning, project monitoring, and operational efficiency across implementation and support projects. This is a centralized PMO role reporting to the VP – UGS and working closely with Project Managers, Delivery Leads, and Functional Teams.

The role will be responsible for maintaining project visibility through MIS reporting, tracking resource utilization and project profitability, monitoring schedule adherence, and ensuring disciplined project execution practices. The PMO Executive will also own and administer the project collaboration and tracking tools used by the department and leverage AI-enabled tools to improve project planning, reporting, and execution efficiency.

Key Responsibilities

  • Track and monitor project schedules, milestones, risks, and delivery status across ongoing projects
  • Prepare and maintain PMO dashboards, MIS reports, and executive summaries for leadership review
  • Monitor project schedule vs actual progress and highlight deviations, risks, and delays proactively
  • Track resource allocation, utilization, capacity planning, and effort consumption across teams
  • Support tracking of project profitability, budget utilization, billing effort, and project health metrics
  • Coordinate with Project Managers for project planning, task tracking, follow-ups, and governance activities
  • Maintain project documentation standards, reporting templates, and PMO processes
  • Own and administer the project collaboration and project tracking tools used by UGS
  • Drive adoption and optimization of project management tools and workflows
  • Utilize AI-based tools and automation opportunities to improve reporting, project tracking, planning accuracy, and operational efficiency
  • Support management reviews, audits, project status meetings, and action tracking

Skills And Experience

  • Strong understanding of project coordination and PMO processes in IT/SaaS implementation environments
  • Good analytical and reporting skills with strong attention to detail
  • Proficiency in Excel, PowerPoint, and project management/collaboration tools
  • Ability to work with data, dashboards, utilization metrics, and project financials
  • Familiarity with project management methodologies such as Waterfall and Agile
  • Smart user of AI productivity tools for reporting, planning, documentation, and automation
  • Good communication, coordination, and stakeholder management skills
  • Ability to manage multiple projects and priorities simultaneously
  • Works closely with: Project Managers, Delivery Teams, Support Teams, and Leadership Stakeholders
